At FindAUniversity Ltd we’re committed to protecting and respecting your privacy.

This policy relates to people registering for events using the EventMagpie registration system.

This Policy explains when and why we collect personal information about people who visit the websites, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

We may change this Policy from time to time, so please check this page occasionally to ensure that you’re happy with any changes. By registering using the EventMagpie system, you’re agreeing to be bound by this Policy.

FindAUniversity Ltd act as the data processor of the personal data you provide through EventMagpie. The data controller is the organisation running the event you have registered for.

What information do we collect and what is it for and what do we do with it?

There is some information that you must provide us with to register to attend an event using the EventMagpie system. This will often include your name, contact details, current country of residence and some information on what you’re looking for at the event.

In addition, we may ask you information about your date of birth, nationality, location and education history. Providing this information helps the event organiser assess who they are attracting to their events and to improve their communications for future events. It also makes it easier for you to pass this information on to the exhibitors that you choose to talk to at the event.

The legal basis for processing is our legitimate business interest, although this is something you can withdraw from at any time. If you wish to remove or retrieve your data, you should contact the event organiser in the first instance. However, you are also welcome to contact us using the contact details above.

Where is it stored?

We store all event registration data securely on our own servers.

At the event you can pass on the details associated with your event registration to the exhibitors you speak to by letting them scan your badge. This is designed to save you time at the event. Exhibitors will only get access to your data if you allow them to scan your badge and tick a consent statement on the exhibitor’s EventMagpie App whilst at their stand.

We do not pass on your contact details to third parties under any other circumstances, unless legally required to do so.

How can I opt out?

You can opt out of our communications relating to the event/s you have registered for by clicking the link at the bottom of each email. If you pass on your details to an exhibitor at our events, opting out from further communications from them is between you and the organisation concerned.

How do we keep your information safe?

We implement a variety of security measures to maintain the safety of your personal information when you submit or access it via our websites. This includes SSL (secure sockets layer) technology to ensure that your information is transmitted safely across the internet. Universities will only get access to your data if you allow them to scan your badge and tick a consent statement whilst at their stand.

How long do we keep your data?

We keep your registration active for 13 months from the date of the event you registered for. The event organisers may contact you about other postgraduate study events during this period in accordance with their own privacy policy.

Can I access my data?

Do we disclose information to outside parties?

We do not sell transfer or otherwise transfer to third parties except under the following circumstances:

  • If you allow an exhibitor at the event you have registered for to scan your badge and consent for them to have your data.
  • We may release your information when we believe it is necessary to comply with the law, enforce our site policies, or protect ours or others’ rights, property or safety.

Will we transfer your information outside of Europe?

You should check the privacy policy of any organisation to whom you consent to have your data. We will not transfer your data outside the EU, but the exhibitors you pass your details to may do so.

Data protection rules outside of the EU/EEA vary, however we will inform these third-parties that data received from us should be treated in line with EU GDPR regulations.
